Position: Programme Development and Reporting Assistant

Locations:  Sana’a

JOB PURPOSE:

The Programme Development and Reporting Assistant will support the Programme Development and Reporting Coordinator with the development of Islamic Reliefs’ programmes. He/She will contribute in proposal writing, follow up with the submission of concept notes, proposals, and donor reports from the relevant program teams. They will assist with the reports from programmes which should be in line with IR’s objectives, timeframes and budgets. S/he will be in contact with relevant parties on specific proposals and funds, and will build positive working relationships with the field offices, different stakeholders and donors. The post holder is also expected to work closely with programme and support teams as required.

KEY ACCOUNTABILITIES

Job Responsibilities:

Programme Support

  • Support programs in ensuring that program indicators and results are achieved during all stages of implementation
  • Support the coordinator by updating the system with donor budgets and timeframes, so it reflects an accurate picture of the portfolio at all times
  • Work closely with the programme units to ensure that proposals and reports are up to date and submitted on time
  • Work with the other support units such as MEAL, Finance, Security and Media for any information or data as needed to be reflected accurately
  • Continuously update the programme team on donor expectations and support the team to ensure proposals are in line with donor requirements
  • Communicate on the responsibilities and agree on timeframes with the programme teams, and ensure deadlines are adhered to
  • Assist the coordinator with project design meetings and harmonize different teams to work together on a proposal or reports
  • Share timely reminders in accordance to deadlines
  • Communicate and follow up both internally and externally, to ensure that all project documents are accurate, updated and well documented
  • Maintain and circulate a proposal and funding tracking sheet. Update other units on the status as new funds are awarded
  • Facilitate meetings with the other programme units and relevant people as required and share the meeting minutes and action plans

PERSON SPECIFICATION

A) EXPERIENCE

Required:

  • Bachelors’ degree in International Development, Business Management, Social Science or related field
  • 3 to 5 years’ experience working with INGOs
  • Some basic knowledge of NGO grant management systems and processes
  • Demonstrated capacities to establish and maintain collaborative working relationships with government officials, local organizations, communities and other stakeholders

B) SKILLS

  • Very high level of professional spoken and written English
  • Strong communication skills, written and verbal
  • Positive attitude to work and excellent collaboration and team-working skills
  • Capacity to solve problem and make suggestions to improve
  • Highly organized, including time management, and ability to meet deadlines, manage multiple priorities
  • Ability to work under pressure
  • Flexibility and willingness to support the team and department in work outside of this job description
  • Strong understanding of the aims and principles of Islamic Relief
  • Ability to multi-task and meet deadlines
  • Proficiency in computer applications (MS Word, Excel, Power point)
