Job Holder Reports To: In Field:  Health and Nutrition Programme Manager  

Overall Purpose:  Working as an important member of a diverse team who are committed to serve the world’s most vulnerable with practical and compassionate care the Project Assistant will work closely with the ZOA Health and Nutrition Program Manager (H&N)  with the following; logistics; processing necessary approvals and permissions; assist with written and verbal translation; external coordination on behalf of the H&N Programme Manager; support with any other task as required by the H&N Programme Manager.    

Project Overview:  In response to the ongoing humanitarian crisis in Yemen ZOA will establish integrated programming focussed on delivering life-saving health, nutrition, WASH and food aid services to identified vulnerable communities. 

Major Duties and Responsibilities


  • Know, understand, and comply with ZOA internal policies and procedures
  • Adhere to ZOA regulations
  • Be ready to travel and to locations outside Sana’a
  • Represent the Health and Nutrition Programme Manager at external meetings as required
  • Be ready to assist the Health and Nutrition Programme Manager with any task as required


  • Support the H&N Programme Manager in setting up national and international supply pipeline, including liaising with external contacts, clearance companies and local tradesmen and contractors.
  • Oversee national and international shipment processes, ensuring national regulations are followed as well as ZOA procedures and policies. 
  • Manage warehouse and stock maintenance procedures

External coordination:   

  • Develop effective and professional relationships with relevant officials and departments
  • Coordinate and liaise with authorities and ministries to effect the completion of necessary agreements and permission with  departments and ministries relevant for ZOA operations    
  • Provide advice to leadership on the best ways to ensure smooth operations of ZOA
  • Participate in relevant working groups


  • Provide accurate verbal and written translation of documentation in both English and Arabic
  • Assist with preparation of letters and agreements between ZOA and external stakeholders, ensuring they remain valid and relevant and that the terms and conditions are clear
  • Submit accurate and timely internal reports as required by H&N Programme Manager
  • Ensure a clear and transparent paper trail is in place for all transactions, that records are kept in an orderly and timely fashion and that the filing (archive) system is in line with ZOA and donor requirements

Qualification / Experience



Vocational qualification

University degree in relevant subject or equivalent professional qualification

Master degree in Administration or Logistics


Work experience

Experience in logistical procedures and management in Yemen

Experience in coordination with authorities

Previous INGO experience



Fluent English (spoken and written)



Computer literate with excellent working knowledge of Microsoft Excel, Word and Outlook

Job Commitment
